Document version control: help everyone use the right revision

When a procedure exists in email, shared folders and chat groups, the hard question is which revision is currently effective. A document repository needs to manage status and users as well as files.

1. Distinguish instructions from completed records

Instructions describe how work should be done; records show what happened. An onboarding procedure may change, while an employee’s completed checklist should retain the content and timing relevant to its use. ISO 10013:2021 provides guidance for developing and maintaining documented information in management systems. This article proposes an internal workflow; it does not interpret certification requirements or claim that software establishes compliance.

2. Assign identity and ownership

Record a document code, title, type, owning department, author, approver, revision and effective date. Add review dates and confidentiality levels where useful. A filename such as “procedure-final-v3” does not replace these fields. Define who edits drafts, submits for approval, issues documents and reads them. Personnel records may require different access from equipment instructions. Company membership alone should not imply access to every record.

3. Approve a specific revision

The approver should see the revision being approved and its changes. Further editing after submission requires a clear decision about which revision will be issued. Retain approval history and comments rather than changing a generic status label alone. Approval and effectiveness are different. A procedure approved today may take effect next month. Keep the older revision accessible when explaining work completed before that change.

4. Distribute and acknowledge

Illustrative example: equipment handover procedure revision 2 takes effect on the fifteenth for warehouse employees and team managers. Identify recipients, explain the changes and set a reading deadline. Historical review should open the acknowledged revision, even when a newer one exists. A reading acknowledgement records an account’s confirmation action. It does not establish understanding or practical proficiency. Where instructions involve physical work, add suitable coaching and comprehension checks.

5. Review the repository

  • Identify the effective revision for each usage scope.
  • Separate superseded versions while retaining history.
  • Verify recipients and access before distribution.
  • Link completed records to the form revision used.
  • Assign responsibility for documents due for review.
