HR AI assistants: check access, evidence and effective dates

AI can help find policies, summarise documents or explain recorded metrics. HR users still need to know the source, permitted data scope and what requires verification. Fluent wording does not establish accuracy.

1. Start with verifiable tasks

Ask for a summary of an effective leave policy or an explanation of records contributing to a department's overtime total. Request sources and explicit gaps. Keep payroll approval and employment decisions with authorised people.

The NIST AI Risk Management Framework core addresses human oversight roles and privacy requirements. This article proposes an HR workflow; it does not claim certification against that framework.

2. Supply context without excess personal data

Specify permitted unit, period, metric and source type. For example: “Within my department, what was approved overtime for September? Show the refresh date and any unfinalised data.” Missing access or evidence should be explicit in the response.

Use only company-approved channels for personnel records or individual pay. Use synthetic or de-identified examples for training.

3. Verify the source and its applicability

Open policy references and check title, version, effective date and covered population. Draft or superseded text can lead to a different action. For metrics, verify period, filters, units and refresh time.

An unsupported conclusion needs clarification and owner review. A plausible link title is insufficient when its content does not support the answer.

4. Test failure cases before expanding use

Try out-of-scope requests, missing evidence, conflicting document versions and requests for employment decisions. Test documents containing instructions to reveal protected data: document content must remain evidence, not become permission.

Record questions, sources, expected outcomes and failures while limiting sensitive test logs. Assign responsible reviewers to decide readiness for wider use.

5. Check an answer before acting

  • Confirm the question and data are within granted access.
  • Open the correct, applicable source version.
  • Verify period, units, filters and refresh date.
  • Identify inference and uncertainty.
  • Require authorised review for record changes or employment decisions.

Use AI to shorten searching and synthesis, then check the evidence before responding to employees or changing records. Evaluate a small question set before increasing scope.
